A hotel reservation for visa is a real, verifiable accommodation booking issued specifically for your visa application file. It is held under your name at an actual hotel — not a fake confirmation — with a real booking reference an embassy verifier can look up. The booking remains in the hotel's reservation system for the validity period you choose, then expires automatically if you do not pay or use it.

Embassies and consulates expect proof of where you will stay during your visit before they grant a visa. Booking and paying for a hotel up front, only to lose the money if the visa is refused, is a problem millions of travellers face every year. The hotel reservation document solves that — you submit a real booking with your application, and only commit to the actual stay (or change to your preferred property) once your visa is approved.

Verifiable Hotel Booking, Not a Fake Confirmation

Every hotel reservation we issue is a genuine booking made through standard travel-agent reservation systems — the same systems hotels and online travel agencies use to hold rooms. When the embassy verifier looks the booking up using the reservation reference, they see a live booking under your name with the dates and property you have submitted. There is no risk of the document failing a verification check, because the booking exists in the hotel's PMS, not just on a printed PDF.

This separates our service from "fake hotel confirmation" sellers who produce PDF templates that look like a Booking.com or Expedia confirmation but are not backed by any actual reservation. Embassies have been getting more aggressive about cross-checking accommodation documents — sometimes by phone to the property, sometimes through booking-channel verification. What Embassies Look For in a Hotel Booking

Across every visa system we support, embassy and consulate document checklists for accommodation evidence converge on a few key criteria:

  • Confirmed booking, not a quote or screenshot: the document must show a real booking reference, the hotel's full name and address, and your name as the registered guest.
  • Dates that cover the entire requested stay: if you are asking for a 14-day visa, the booking must cover all 14 days. Shorter bookings are read as gaps in your travel plan.
  • City and area consistent with your application: if you have stated you are visiting Paris, a booking in Marseille looks inconsistent. If your trip spans multiple cities, the booking should reflect the first stay or include all stays.
  • PDF format with hotel name, address, dates, guest name and reference clearly visible — embassies do not accept screenshots, photographs of screens, or vague reservation emails.
  • Booking still valid on the day the embassy makes its decision — match validity to the embassy's processing window plus a small buffer.

  • 7-day reservation (£16 per booking): the most popular option, covering most standard-service applications including Schengen short-stay, Australian Visitor visas, and US interview slots.
  • 14-day reservation (£27 per booking): the safer choice for embassies with longer processing windows, peak-season applications, or applications submitted before public holidays. Recommended for Indian, Pakistani, and Nigerian applicants where processing routinely runs longer than the published estimate.

The 7-day option fits the majority of cases. The £11 difference between 7-day and 14-day is a small insurance against the embassy taking longer than expected.

Visa Systems Where a Hotel Booking Is Required

Almost every short-stay visa application worldwide expects accommodation evidence. Some specific examples:

  • Schengen visa: proof of accommodation for the entire stay is in the harmonised visa code — every embassy checklist lists it explicitly.
  • UK Standard Visitor visa: required, unless you are staying with a UK-based host who provides an invitation letter and proof of address.
  • Canadian TRV: required, with the same host-or-hotel pattern.
  • Australian subclass 600: the application asks where you will stay during the visit; a hotel booking covers it cleanly.
  • UAE tourist visa / 96-hour transit visa: if you are leaving the airport, accommodation evidence is expected.
  • US B1/B2: the DS-160 asks for the address you will stay at; while not always demanded at the interview, having the booking ready is sensible.

What the Document Includes

Every hotel reservation we deliver is a clean, A4-formatted PDF containing:

  • Hotel name, full address, and contact details
  • Guest name (or names, for multi-guest bookings) exactly as on the passport
  • Check-in date and check-out date
  • Number of nights and room type (typically a standard double or twin)

The file size is typically 200–500 KB — within every embassy upload limit. There is no advertising, no watermark, and no template language that flags the document as anything other than a standard hotel confirmation.

How to Submit Your Hotel Reservation

Once your booking arrives by email — typically within 1–3 hours of order — download the PDF. For embassies that accept online uploads (UK VFS portal, Australian ImmiAccount, Canadian IRCC GCKey, US DS-160, UAE ICP smart services), upload the PDF under the "Accommodation" or "Travel arrangements" field. For embassies that require physical submission, print one clean copy on plain A4 and include it in your application folder. Keep the booking reference until your visa decision arrives.

Embassies handling group applications expect to see the family unit staying together — separate individual bookings look inconsistent and trigger extra scrutiny. What Happens If the Visa Is Refused

If the embassy refuses your visa, the hotel reservation expires automatically — no payment is taken at the property, and you do not need to actively cancel anything. The reservation fee itself is non-refundable once the document has been issued, because the booking is held in the hotel's system at issue time.
