How to Book a Flight Reservation for Your Visa
The 5-Minute Order Process
Ordering a verifiable flight reservation for your visa application is a quick, structured process. Done right, you go from "I need a flight document" to "the reservation PDF is in my inbox" in under 5 minutes of active time, plus 1–3 hours of issuance. This guide walks through each step.
Step 1: Confirm What You Need
Before you order anything, confirm three things:
- Your nationality requires a visa for the destination — if you're visa-exempt (e.g. UK/EU citizens for Schengen, ESTA-eligible nationals for the US), you don't need a flight reservation; you may need an onward ticket for boarding.
- The destination embassy accepts verifiable flight reservations — every major visa system does. Embassy-by-embassy acceptance overview.
- You have a confirmed appointment date at the embassy or VAC. Order the reservation 24–48 hours before the appointment so the validity comfortably covers the decision window.
Step 2: Collect the Trip Details
You'll need these pieces of information at order time. Have them ready:
- Full passenger name exactly as on your passport (first name, middle names, surname)
- Date of birth for each passenger
- Departure city / airport — typically your home airport
- Destination city / airport — the city closest to your stated visa destination
- Outbound date matching what you've stated on the visa application form
- Return date matching the visa form
- Passport number (not always required at order, but useful)
If you have multiple passengers (family, group), prepare the same details for each.
Step 3: Choose Your Validity
The right validity depends on your embassy's processing window:
| Use case | Validity to pick |
|---|---|
| US B1/B2 interview (same-day decision) | 7-day |
| UAE express service / 24-hour decisions | 48-hour |
| UK Standard Visitor (3-week processing) | 14-day |
| UK priority service (5 working days) | 7-day |
| UK super-priority (24 hours) | 48-hour or 7-day |
| Schengen short-stay (10–15 working days) | 14-day, 7-day off-peak |
| Schengen peak season (May–September) | 14-day always |
| Canadian TRV / Australian subclass 600 (variable) | 14-day |
| Onward ticket for boarding | 48-hour |

Step 4: Place the Order
On our flight reservation page:
- Select the validity (48-hour / 7-day / 14-day).
- Enter the trip details — passengers, route, dates.
- Optionally add the hotel reservation or cover letter if your embassy expects them.
- Provide your email address for delivery.
- Pay via Stripe (card or supported wallet).
The order goes to our reservation team, who issue the booking through a global distribution system (Sabre, Amadeus, or Travelport) — the same systems travel agencies use for paid bookings.
Step 5: Receive and Verify
The reservation arrives by email, typically within 1–3 hours of payment. The PDF is a clean A4 document showing:
- Airline name and IATA code
- Flight numbers and full route
- Departure and arrival times
- Passenger name(s)
- The PNR / booking reference
- Validity stamp
Before submitting to the embassy, verify the PNR yourself in 60 seconds: open the airline's "Manage Booking" page, enter the PNR plus your last name, see the live booking. Step-by-step verification guide.
Step 6: Submit to the Embassy
How you submit depends on the embassy's process:
- Online upload (most modern systems): upload the PDF to the embassy's portal — UK VFS portal, Australian ImmiAccount, Canadian IRCC GCKey, US DS-160 supporting documents, UAE ICP smart services. The category is usually "Travel itinerary" or "Travel arrangements."
- Physical document at VAC appointment: print one clean copy on plain A4 and include in your application folder. Most VACs (VFS Global, TLScontact, BLS) accept printed documents at the biometric appointment.
- Both: some embassies request both online upload AND a physical copy at the appointment. Bring a printed copy to be safe.
Keep the original email and the PNR until your visa decision arrives. If the embassy raises a query, having the reference handy speeds up your response.
Step 7: After the Decision
If approved: the reservation expires automatically at the end of its validity. Book your real ticket directly with the airline (or via a travel agent) using the routing of your choice. The airline issues a fresh PNR for the paid booking.
If refused: the reservation expires automatically. No payment is taken at the airline. The reservation fee itself is non-refundable, but our refund policy covers cases where we fail to deliver on time or where the document is technically incorrect.
Common Order Mistakes
- Booking before finalising the visa application form. If you change the visa form's dates after ordering, the reservation drifts out of sync. Finalise the form first, then order.
- Picking the wrong validity. 48-hour reservations expire mid-processing for any embassy with a multi-day decision window. When in doubt, pick 7-day or 14-day — the £8–£15 difference is insurance against unexpected delays.
- Wrong passenger name spelling. The reservation must show your name exactly as on your passport. "Bilal Ahmed" on the passport but "Bilal A. Ahmed" on the reservation triggers a name-mismatch flag.
- Single-leg reservation. Embassies always want a two-way itinerary — entry into the destination and a confirmed departure. One-way reads as overstay risk.
- Routing inconsistent with stated destination. If your visa form says you're visiting Paris but the reservation lands at Frankfurt with no Paris connection, the embassy sees a mismatch.

Multi-Passenger Family Bookings
For families travelling together, list all passenger names, ages, and passport numbers in your order. We issue a single multi-passenger PNR rather than separate individual bookings — embassies handling group applications expect to see the family unit on the same routing.
Last-Minute and Emergency Orders
Most orders deliver in 1–3 hours. For genuine emergencies — appointment in the next few hours, denied boarding situation at the airport — our team can issue documents in 30–60 minutes. Contact support directly with "URGENT" in the subject line.
